By registering with us, you accept and expressly consent to our use and disclosure of your personal information in the manner prescribed in this Privacy Policy. If you object to this use and disclosure please do not register with us. "Registering" includes providing us with your personal information by telephone, via. our website(s), by e-mail and/or making an application to any of the competitions, events, tournaments or programmes which we manage directly or on behalf of others, whether via this website, via the LTA website, by post, fax or any other means.
Website
For each visitor to our website, our web server records the domain, IP address of the computer you are using, browser type, operating system and the pages you access on the site . No other personally identifiable information is collected unless you access any part of our site which specifically requests such information. We do collect information on the pages that visitors access or visit, referring domains and search engines/search terms used to access our sites.
We do not use cookies nor do we partner with or have relationships with any ad server companies.
General
If you supply us with your postal or e-mail address you may receive periodic mailings from us with information on tennis events and tournaments organised or managed by us. If you do not wish to receive such mailings, please let us know by writing, telephoning or e-mailing us. We will only contact you by telephone regarding tennis events and tournaments for which you have made an application or enquiry.
We may pass you name, address, telephone numbers, e-mail addresses, British Tennis membership data and details of event applications you have made to clubs and centres hosting competitions to which you have made an application or enquiry, referees/event officials engaged by us or hosting clubs/centres and/or the Lawn Tennis Association. We may also pass details of any medical, disciplinary or other relevant information held on our records to these parties, if we feel that it is reasonable and appropriate to do so. If you fail to pay any amounts due to us (or any clubs, centres or organisations where we act as agent for the collection of fees), then we may also pass any details we hold to debt collection companies, credit reference agencies, other tournament organisers and/or government organisations empowered to deal with the collection of outstanding debts (including but not limited to the small claims courts in the UK).
We are not able to pass messages between players and/or parents whether in connection with a competition featured on our website or otherwise. In addition, we do not pass names, address, telephone numbers or e-mail address to unconnected commercial organisations, mailing list operators or other third parties.
If you make an application to an event or tournament managed by us, we may include the following details on our website: name, British Tennis membership number, LTA rating, LTA ranking, details of the events/tournaments applied for, acceptance status (including applications which are cancelled, declined, ineligible or unsuccessful), match date(s) and time(s) and results. By registering with us you expressly and irrevocably consent to us publishing these details in the public domain both now and at any time in the future (including after the termination of any registration you have made with us).
Upon receipt of a properly authorised request, we will correct any inaccuracies in any of the information held on our computer systems. However, some of the information we hold is provided to us directly by the Lawn Tennis Association and we cannot be held responsible for any inaccuracies in their data, which may be imported directly from their systems to our own records, on a periodic basis.
Security
When we transfer and receive certain types of sensitive information over the internet, such as financial information, we redirect visitors to a secure server. We have appropriate measures in place to protect against the loss, misuse or alteration of information that we have collected from you. This includes physical security, hardware and software firewalls, anti-virus and anti-spyware software, use of secure sockets layer technology, data encryption, internal password policies, data backup procedures and backup power supply systems.
If you provide us with credit or debit card details, we will not store the full card number which will be passed in an encrypted format to an approved payment gateway provider to whom a payment request will be made to collect entry fees for tournaments for which you have submitted an application and have been accepted.
We will remove payment information from our records if you instruct us to do so. This will automatically cancel any pending applications made for forthcoming events and tournaments where the card has been used to honour such applications. Any entry fees due for events/tournaments where a player has been accepted will continue to be payable.
Law Enforcement
We may pass any information we hold to government or law enforcement agencies, if we are legally required to do so.
Password Security
You should not divulge your registration password to any third party and we strongly recommend that passwords are not passed to junior players. The submission of your British Tennis membership number (or username) and password as part of a tournament or event application is considered a legally binding commitment and authorises us to charge your debit or credit card with any entry fees due. Use of the password by a junior player, or other person shall be deemed as implicit parental consent and shall also be legally binding.
We may, at our sole discretion decide not to accept applications for any player via our online systems. In addition, we may cancel or revoke a registration and or any event/tournament application if we have reason to believe that the account password has been used without proper authorisation or by anyone other than the registered player (or the parent or legal guardian of a player under 18 years of age).
If you forget your password, we will only provide this to the registered credit/debit card holder, after the completion of appropriate security checks.
Telephone
We may record any telephone conversations you have with us and use such information for verification or dispute resolution purposes. This includes calls routed through our telephone systems to hosting clubs, referees, tournament organisers and other third parties.
Alterations to this policy
We may amend this Privacy Policy from time to time in order that it accurately reflects the regulatory environment and our own data collection and disclosure practices. All amended terms shall automatically be effective 7 days after they are initially posted on the site and shall apply retrospectively to any registrations, applications and data supplied prior to the effective date of change.
